The Department of Military Affairs (DMA) is hiring an Operations Program Associate at the Wisconsin Air National Guard 128th Air Refueling Wing at General Mitchell Air National Guard Base, Milwaukee, Wisconsin.

Position Summary

 

The Operations Program Associate provides a wide range of administrative duties as a team resource for the 128th Civil Engineer Squadron at General Mitchell Air National Guard Base. The position requires considerable initiative, judgment, and discretion with minimal supervision. Supports squadron personnel by performing duties such as purchasing, updating multiple data base systems, inventorying computer assets and providing an array of customer support to the squadron. Assist squadron personnel with computer support, perform complex data entry tasks, and network/software access requests. Serves as the commander’s support staff by drafting military orders, arranging travel, preparing time and attendance payroll documentation for full time federal personnel, tracking military staff performance evaluations, awards, and supports state staff as directed. Maintains squadron digital file plan, routes documents for approval, and coordinates updates to documents with personnel. Prepares agendas, coordinates meetings, and drafts meeting minutes for numerous squadron and base level working groups. Possess and provide expertise on Microsoft Office applications.

Salary Information

 

Starting pay is $21.66 per hour and includes a generous state benefits package. This position is in the 02/11 pay schedule/range.  For current permanent state employees, pay will be set in accordance with the State Compensation Plan. A 12-month probation will be required. 

This position works 4 10-hour days, Tuesday – Friday, 6:00 am to 4:30 pm.

The Department of Military Affairs does not sponsor work visas at the time of hire or anytime during employment. All persons hired will be required to verify identity and eligibility to work in the United States and complete the required Employment Eligibility Form I-9.

Job Details

 

In order to gain access to the military facilities and to determine whether the circumstances of any conviction may be related to the job being filled, DMA will conduct a comprehensive background check. 

In addition, the position requires a Common Access Card (CAC). A CAC requires successful completion of a Department of Defense investigation and an additional more in-depth federal background check, for gaining access to federal computer systems, restricted locations, or classified information.

All new permanent, project, and limited term employees will be required to report to Joint Force Headquarters (JFHQ) in Madison on the Monday of their first week of employment for the New Employee Orientation (NEO) program. Additional information will be sent to the new employees and their supervisors on the Tuesday prior to NEO.

Qualifications

 

Candidates who meet minimum qualifications will have experience with:

  • Experience providing administrative support to team such as answering the phone, greeting visitors, collecting, and sorting mail, organizing paper and electronic files, maintaining tracking systems, etc.
  • Experience entering data and creating data reports and/or spreadsheets.
  • Experience writing communications, proofreading, editing, and finalizing materials.
  • Proficient in Microsoft office (i.e., Word, Excel, Outlook) for note taking, creating case notes, updating logs and maintaining spreadsheets.

In addition to the minimum qualifications, well-qualified candidates will also have the following preferred qualifications:

  • Experience, education or training utilizing and maintaining online databases or uploading shared documents to shared sites such as SharePoint or a comparable program. 
  • Experience, education, or training related to purchasing and maintaining appropriate inventory of supplies.
  • Managing multiple tasks and meeting deadlines by using workload management skills (e.g., time management, prioritization, organization, productivity, etc.).
  • Experience handling sensitive/confidential information and/or documentation.
