The Wisconsin Veterans Home in King (WVHK) is seeking an Office Operations Associate, to provide administrative support for the Admissions & Discharges unit and serve in reception for members and visitors. The Home is a 24/7/365 skilled nursing, long-term care facility that specializes in providing comfort, support, and professional healthcare services to elderly or disabled veterans and their spouses. Position Summary

 

Under the general supervision of the Veterans Home Administrator (Commandant) at WVHK, this Office Operations Associate provides a wide range of program administrative support, serving as receptionist, providing information: handling phone and web inquiries; entering data into the computerized record, preparing documents; providing support for meetings; preparing identification cards; assisting with funeral and burial details and document preparation; compiling data for unit reports; preparing correspondence, forms and reports; scheduling and conducting tours; producing and collecting materials; updating inventories; proofing, organizing and producing forms, records and directories; filing records, cross-training staff for back, and providing support to Admissions & Discharges staff and the Commandant.

Salary Information

 

Starting wage is $20.63 per hour.

The position includes an attractive employee benefits package.

Office Operations Associate is in pay schedule-pay range 02-10.

Pay will be set in accordance with the State of Wisconsin Compensation Plan in effect at the time of hire. Pay for current State employees may vary based on applicable provisions in the Compensation Plan.

Job Details

 

This position works Monday through Friday, 8:00 a.m. to 4:30 p.m., with no overtime or weekends.

Work is performed on-site. Remote work is not available. Travel is unlikely.

Due to the nature of the position, WDVA will conduct a caregiver background check prior to an offer of employment.

Employment in this position is contingent upon passing a pre-employment tuberculosis (TB) skin test.

A 12-month probationary period may be required.

Qualifications

 

Required qualifications that will be reviewed in the first step of the process are experience:

  • Providing administrative support in an office setting (e.g., generating and sending correspondence, scheduling meetings, preparing reports, responding to phone and email inquiries, printing and distributing informational materials, managing office inventory, assisting with projects, receiving and filing documents, paging, etc.)

  • Providing customer service (e.g., greeting visitors, taking inquiries, answering questions, showing empathy, respecting customer rights, providing information, following up with customer, being compassionate, allowing customer to express frustration, giving directions, making announcements, etc.)

In addition to the qualifications reviewed in the first step of the process, qualifications that will be reviewed in next steps are experience and/or education:

  • Performing data entry and recordkeeping duties *

  • Multi-tasking and organizing work assignments

  • Working on a team

  • Maintaining confidentiality of sensitive information
